Work Flow Reporting

Deacom's Work Flow Reporting feature allows users to formalize approval processes and require specific steps to be completed before a transaction or a master data record can be completed. Work Flows give structure and visibility to tasks that are completed at different times and throughout departments within a company. The reporting that is available through Deacomhelps facilitate team work and collaboration across departments. These Work Flow reports can be saved as Previews for greater visibility. Additionally, users can filter by Work Flow Type on the various management pre-filters.

Work Flows for individual transactions can be modified in Work Flow Reporting and unique Tasks can be added to existing Work Flows on a one-time basis. Sequences can also be locked to prevent users from making changes to transactions after the fact (e.g. after a Sales Order has been shipped or a Purchase Order has been received). In Deacom, Work Flows abide by the standard record locking conventions. This ensures that users cannot complete a Work Flow Sequence for a record that is being edited by another user.

Note: Users can be prevented from approving Work Flow Sequences for records they create via the "Approve By" field on the Edit Work Flow Sequence form.

Work Flow Reporting pre-filter

Field Description

Report Type

Pick list used to choose the desired kind of report that will generate. Options are:

  • Standard - Displays a list of Work Flow Sequences related to the selected Flow Type and the associated details, such as Created date, Planned date, Type, Assigned To, etc.
  • Ticket - Displays a list of Work Flow Sequences related to the Tracker application. Selecting this option forces the "Flow Type" to "Tracker" and locks the field.

Users with permission can create unlimited user versions of any work flow report and also determine which reports each user will see in this field.

Flow Type

Pick list used to select which Work Flow Type(s) appear on the report. For information on the selections available, refer to the Edit Work Flows form section of the Work Flows Encyclopedia page.

  • Note: When Flow Type is set to All, Purchase Orders, Sales Orders, or Jobs, cancelled records will not appear.

View

Pick list used to select whether to display Work Flow Sequences, individual Tasks, or All.

Status

Pick list used to select which Work Flow Sequences will be displayed in the report. Options are:

  • All - used to display all Sequences in a Work Flow.
  • Completed - filters for all completed Sequences in a Work Flow.
  • Next - filters for the next uncompleted, sequential Sequence in a Work Flow. Non-sequential Work Flow Sequences are not shown in this view.
  • Open - filters for all uncompleted Sequences in a Work Flow.

Date Based On

Pick list used to select the order in which results are displayed.

Start Date

Filters for results that have a "Date Based On" selection of the date selected through the End Date, or with no End Date if that field is left blank.

End Date

Filters for results that have a "Date Based On" selection of the Start Date through the date selected, or with no Start Date if that field is left blank.

Security

The system default is "View Assigned To or By Me", meaning the report will only display Sequences assigned to or by the User logged into Deacom. If the security option "Tools -- view all work flow assignments" is set to "Yes" for a User, this field will be set to "View All", allowing the User to view all Work Flow Sequences.

Assigned By

Search field used to filter for a specific, active User. If a selection is made, only Sequences assigned by the selected User are displayed in the report.*

Assigned To

Search field used to filter for a specific, active User. If a selection is made, only Sequences assigned to the selected User are displayed in the report.*

Completed By

Search field used to filter for a specific, active User. If a selection is made, only Sequences completed by the selected User are displayed in the report.*

Assigned By User Group

Search field used to filter for a specific, active User Group. If a selection is made, only Sequences assigned by Users within the selected User Group are displayed in the report.*

Assigned To User Group

Search field used to filter for a specific, active User Group. If a selection is made, only Sequences assigned to Users within the selected User Group are displayed in the report.*

*If searching for Sequences assigned to, assigned by, or completed by inactive Users or User Groups, this field should be left blank.

Work Flow Reporting report

Opened via the "View" button on the Work Flow Reporting pre-filter.

Field Description

Modify

Opens the Edit Work Flow Sequence form and allows the user to complete or un-complete the selected Sequence.

View Detail

if clicked, displays the record which contains the selected work flow sequence.

View History

Displays a report containing information on when the Sequences of a Work Flow were completed, uncompleted, or added, by whom the Sequences were modified, assigned to, comments and notes changes/additions and any time the "Return To" feature was used. Also available on the Work Flow tab of individual records that utilize the Work Flow feature.

  • The "View History" button on the Work Flow tab for Sales Orders, Jobs, and Purchase Orders also displays this information.

Modify Info

Opens the selected record in Modify mode to allow the user to make changes.

  • For "Journal Entry" Work Flows, this button will only work for temp entries that haven not been posted.

Created

The date the order or record was initially added to the system.

Planned

The date the Sequence should be completed by. Can be manually selected by modifying the Sequence or automatically populated based on the expression entered in the "Planned Calculation" field of the Work Flow.

Completed

The date that the "Complete" or "Return To" button on the Sequence was clicked.

Variance

The difference in days between the "Planned" and "Completed" dates.

Completed By

The name of the User who clicked the "Complete" or "Return To" button on the Sequence.

Type

The "Type" selected on the Work Flow.

Flow For

Displays the order number or master record associated with the Work Flow Sequence.

Name

The name of the Sequence.

Sequence

The number of the Sequence within the Work Flow.

Assigned By

The User who assigned the Sequence to the "Assigned To" User.

Assigned To

The User who is designated to complete the Sequence.

Notes

Pertinent information related to the Sequence.

Edit Work Flow Sequence form

Field

Description

Previous/Next Sequence

These buttons are only available when accessing the Edit Work Flow Sequence form via Work Flow Reporting. This button will be disabled if a work flow sequence is modified but it is the only sequence in the work flow. If a user clicks the next or previous sequence button, and the next or previous sequence is not assigned to the current user and the security setting "Tools -- view all work flow assignments" is set to No, then a message will display stating that they do not have security permissions. At this point, the user will not allow them to move to the next or previous sequence.

If the user has clicked Next Sequence or Previous Sequence to go to the next or previous sequence, clicking the Next or Prev button (not the Next Seq. or Prev. Seq. buttons) will select the next or previous record from the original selected record on the work flow report.

Allows users to attach files, documents, and various image types to the Work Flow Sequence.

Sequence

The numerical order of the Sequence in the Work Flow.

Name

The name of the Sequence.

Assigned By

The User who assigned the Sequence to the "Assigned To" User.

Assigned To

The User who is designated to complete the Sequence.

  • If the Work Flow Sequence on the Work Flow selected has an expression in the "Assigned User Expression" field, then this user name will be populated in this field.

Planned

The date the Sequence should be completed by. Can be manually selected or automatically populated based on the expression entered in the "Planned Calculation" field of the Work Flow.

Return To (field)

Indicates the Sequence the User will be sent back to if the "Return To" button is clicked.

Completed

Automatically populates with the date that the "Complete" or "Return To" button on the Sequence was clicked.

Time

Automatically populates with the time that the "Complete" or "Return To" button on the Sequence was clicked.

Completed By

Automatically populates with the name of the User who clicked the "Complete" or "Return To" button on the Sequence. Can be different than the Assigned To User.

Notes

Use to record pertinent information when completing or returning to a particular Sequence. Notes are permanently saved on the Sequence record. If there are details to enter that should be written to the Sequence history only, and not be permanently appended to the record, use the "Comments" field.

Comments

Use to record details on why a Sequence is being completed or returned to another Sequence. Comments should be entered, then the "Complete" or "Return To" buttons may be clicked. After one of the buttons is clicked, the "Comments" field will clear and the comments that were entered can be viewed in the Work Flow History report. If the details need to be saved to the Sequence permanently, use the "Notes" field.

Return To (button)

Returns the user to the Sequence defined on the Work Flow and uncompletes the intermediate Sequences. The user can enter Comments regarding why the Work Flow Sequence was returned to a previous Sequence, which are shown in the Work Flow history.

  • This button will only be enabled when the workflow sequence opened on the form has a return to sequence specified via the "Return To" field - (t2_returnto).
  • When this button is enabled and clicked, the following yes/no prompt will be displayed: "Do you want to clear previous sequence completions and return to sequence <<t2_name for the sequence in t2_returnto>>?"

Complete/Un-Complete

Marks the Sequence as complete and populates the "Completed", "Time", and "Completed By" fields.

  • Button changes to "Un-Complete" once a sequence has been marked as complete.
  • The security setting "Tools-Un-Complete Work Flow Sequences" controls the ability to un-complete a sequence.
